Purpose
Once shifts have been published on NHS At Work, there will be times when things change. This guide covers the editing options available, how to use them, and how to Republish the Roster to ensure changes are visible to your medics.
The shift editing options are:
- Edit Shift – Make changes to the shift details, times, assigned medic, and location details.
- Shift Note – Add a Shift Note.
- Edit Ward – Amend the Ward on which the shift will be worked.
- Remove Shift – Used in the rare scenario a shift needs to be deleted.
- Split Shift – Add different locations or activities to different time periods within a shift.
- TOIL hours – This is covered in detail in the 'Managing Time Off In Lieu (TOIL) Hours' guide.
Edit Shifts
- Click on the shift card ellipsis and select ‘Edit Shift’.
- From this form you can make changes to the following:
- Shift type
- Start and end dates and times
- Shift category
- Shift Card colour
- Medic assigned
- Ward
- Grade
- Site
- Specialty
- Once you’ve made your changes, click ‘Save’. This will run the compliance engine and display any newly triggered warnings or violations.
- Warnings - you can choose to ‘Continue’ and save your changes, or ‘Amend’ which will take you back to further edit or cancel your changes.

Violations - you can choose to escalate the change for further review and approval, or ‘Amend’ which will take you back to further edit or cancel your changes.
Shift Note
A note can be added to a shift to record any important information:
- Click on the shift menu ellipsis and select ‘Shift Note’.
- Type your note.
- Click ‘Save’. A ‘note’ icon will be added to the shift card. Clicking this icon will display the note details.
Top Tip! Adding a note does not require republishing the roster.
Edit Ward
- Click on the shift card ellipsis and select ‘Edit Ward’.
- Choose whether you want to change the Ward for just this shift or all future shifts
- Choose the new Ward from the dropdown menu, then click ‘Save’.
Removing a Shift
This option is for the rare occasions when a shift needs to be deleted e.g. if an additional shift was created by mistake. Be aware that this action will delete the shift completely, including any audit history.
- Click the shift card ellipsis and select ‘Remove Shift’.
- Click ‘Remove’ to confirm deletion.
Splitting a Shift
- Click the shift card ellipsis and select ‘Split Shift’.
- Complete the ‘Add Split Shift’ form, including activity and location, if required.
- Click the green ‘+’ icon to create all time period splits, then click ‘Save’.
Top Tip! Ensure time periods are consecutive and cover the entire shift duration.
Top Tip! If the same shifts will have the same splits throughout a roster period, you can split them in the Roster Periods screen. See the ‘Administering a Roster Period’ guide for more details.
Republishing a Roster
Where the editing has changed the shift border colour from black to red, the shift will require re-publishing so that medics can see your changes.
- Click the roster ellipsis in the top left corner and select ‘Publish’.
- Choose the date range and staff you wish to publish for.
- Click ‘Next’, then click ‘Publish’ to confirm.
