Purpose
The Roster Period Screen in NHS At Work is where existing and future roster periods are viewed and managed, and where workers are added to their assigned slot here for shifts to be generated. This guide provides a visual overview of the Coverage Screen, highlighting you can find key information and actions. It’s designed to give you a starting point and support efficient use of the system. For more detail on specific features, please refer to the additional guidance documents available. These cover wider functionality in depth and are intended to complement this quick guide.
The Roster Period Screen
- Roster Actions Menu – Click on this ellipsis to open a menu of actions you can take on this roster.
- Roster Information Bar – Includes Roster Name, Start Date, Last Published Date and Published Status.
- Roster Period tabs – Swap between different roster periods using each tab. The view will default to the current roster period.
‘All Roster Periods’ tab – Click here to find a list of all existing roster periods and select the bin icon to delete any future ones.
Roster Period – The start and end dates of the viewed roster period.
A rota code for the viewed roster period – Assign this to medics to link them to the pattern for the relevant dates.
Roster Period Action Menu – From the ellipsis, switch to dynamic view or create a split shift.
Medic Search Bar – Search for a medic who has been allocated to a slot.
Rota Slots – For medics to be allocated to.
Medic List – The medics who have been assigned to this roster, based on the rota code.
Slot Vacancy – A gap has been identified, and vacant shifts have been generated based on the pattern in that slot. Click the green button to the left-hand side of the line to outsource all shifts in the vacancy at once.
Medic Slot Assignment – A medic has been allocated to the slot for those dates, and their shifts have been generated based on the pattern.
Remove Options – Click on the blue cross icon to remove the medic from the slot, and delete all future shifts associated with that allocation, or a green cross icon to remove all vacant shifts associated with that slot vacancy.
Create a Slot Vacancy – Input a name, the slot you want the vacancy to follow, and the relevant dates.
‘Auto Generate Vacancies’ button – Generates vacant shifts based on vacant slots and shifts from the full-time pattern not covered by Less-Than-Full-Time (LTFT) medics.
Rota Pattern – The pattern of shifts from the rota code associated with this Roster Period.
Whole Time Equivalent Status – The ‘FT’ icon indicates a Full-time worker. The ‘LTFT’ icon indicates a Less-Than-Full-Time medic.
