Purpose
Leave can be added and managed in NHS At Work. This guide covers how to add Annual Leave, Sickness, Study Leave, Working Day, Parental Leave, and Other Leave for medics on a roster.
Adding Leave
- Navigate to ‘Rostering’ in the left-hand menu, then ‘Manage Rosters’ and select the roster where you wish to add leave.
- Click on the Roster Action Menu ellipsis and select ‘Add Leave’.
- Complete the Add Unavailability form with the relevant details and then click ‘Submit’:
- Staff Name
- Primary Reason – Select the type of leave e.g. ‘Annual Leave and Bank Holiday’, ‘Study Leave’, etc. The leave days will be deducted from the associated entitlement balance, where appropriate.
Top Tip! All Primary Leave Reasons, other than Sickness, will need to go through the leave approval process. See the ‘Approving, Editing and Cancelling Leave guide for more information.
- Secondary Reason – Select the specific reason for the leave type from the dropdown menu. The options for each leave type will match those in ESR.
- Time Period – Either free-type or choose from the calendar the Start Date of the leave. Tick the ‘More than one day’ box to enter an ‘End Date’ for leave that spans multiple days. Leave can be added in increments of either full or half days.
- Leave Approver – Select from the drop down list which user should receive the email notification advising of the leave submission.
Top Tip! If a User adding the Leave also has leave approval permission, they can select themselves from the ‘Leave Approver’ drop down list, and immediately action once added.
- Leave Reason – This is an optional free text box to record any other relevant information.
Top Tip! Once a Return to Work has been completed following a period of Sickness, you can edit the unavailability period and add the date the Return to Work was completed. This date can’t be in the future or before the Sickness End Date.
