Purpose
The Rota Screen in NHS At Work is where Rota Co-ordinators can create and send work patterns for approval.
This guide provides a visual overview of the Rota Screen, highlighting where you can find key information and actions. It’s designed to give you a starting point and support efficient use of the system.

The Rota Screen
- Rota Menu – Clicking on the ellipsis within the Rota Information Bar opens an actions menu. The actions available within this menu depend on the status of the rota.
- Rota Information Bar – This shows high level information relevant to the rota you are viewing, including the Rota Code, Rota Name, Compliance Status, Rota Status and Effective From & To Dates.
- Establishment Data Section – This shows the data that was entered when initially configuring the rota, that determines the shift types and grades etc. that will be associated with the pattern. This can be edited at any time, pre-approval, within the Rota Menu ellipsis.
- Pay Calculations Section – NHS At Work uses the NHSE Nodal Points to calculate the basic pay, and any enhancements for shifts that qualify for higher rates under the 2016 Resident Doctor contract. This updates in real-time as the pattern is being built. Separate tabs display the pay calculations for each grade selected when completing the Establishment Data.
- Working Details Section – Real-time calculations show various breakdowns of the Average Working Hours across the course of the pattern, and the compliance of this in line with the 2016 Resident Doctor contract.
- Rota Duration View – The Shift Grid can be viewed in several different durations, from its entirety, to weekly, 2 weekly and 4 weekly.
- Rota Slot Selection Menu – This gives a user the ability to review the pattern of shifts that will be assigned on a rolling pattern, using any of the slots as a starting point.
- Rota Action Menu - Clicking on the ellipsis within the Rota Screen opens a menu where users can access different breakdowns of data within the rota pattern. This includes View Coverage, where users can see the number of medics that will be available at either 30 or 60 minute intervals across the pattern, and the View Shift Summary, where users can view the number of workers assigned to each Shift Type on any given day within each slot of the pattern.
- Assignable Shifts – These are the shifts that were selected within the Establishment Data, that are available to be assigned to the pattern.
- Shift Grid – This is where the pattern is built.
- Violation and Warning Review – Any violations or warnings generated within the pattern will be shown on the left hand side under the Assignable Shifts section, with a reference on the Shift Grid to the shift that has generated the WVR.
- Save & Validate – Clicking ‘Save’, and then ‘Validate’ will re-check the Compliance Status of the Rota Pattern in line with the 2016 Resident Doctor Contract.
