Purpose
There are many people within an organisation that may need access to NHS At Work, and the information it holds. This guide covers creating and confirming accounts for creating anyone who has an administrative, managerial or reporting role.
Top Tip! A user account will be created for rostered medics automatically when they are imported into the system. It’s important that medic profiles are not created manually.
Creating a New User
- Navigate to ‘Administration’ in the left-hand menu, and ‘Manage Users & Roles’.
- Click the green ‘+’ on the headings bar to open the ‘Add New User’ form.
- Complete the ‘Details’ tab. If the user is a medical secretary, ensure the ‘Medical Secretary’ box is ticked.
Top Tip! It is not possible for Trust users to update an existing account to a medical secretary role if this is not ticked at profile creation stage.
- Click ‘Save’.
- Once saved, select the ‘Roles’ tab, click the green ‘+’ icon and select the required role. Adding a Roster Group or Roster is an optional field and controls the rosters or roster groups where the user will be able to perform that action.
- Select the pencil icon to edit the role or, if it was added in error, select the bin icon to delete it.
- Once created, the user will receive an email notification to verify their email address and choose a password. Once completed, the user is then directed to the home page to log in using the new password.
Top Tip! The verification email link is only valid for 24 hours. Try to ensure that you create new user accounts when the recipient will be able to activate it.
Resending a Verification Email
An email notification will be sent to new users when their account is created, and they will have 24 hours to confirm their account. If link times out, you can resend the verification email by following the steps below.
- Navigate to ‘Administration’, ‘Users’, and then ‘Manage Users and Roles’.
- Search for the account you need verified.
- Click the ellipsis on the end of the user’s line and click ‘Resend Account Confirmation’.
Top Tip! Use only first name OR surname to find the user.
